What to include in a plumbing estimate
Plumbing customers are often stressed: something is leaking, blocked or out of hot water. A clear estimate calms them down and gets you a faster yes. Include:
- Your business details: name, phone, email and license number.
- Customer name and job address, plus where in the home the work is (kitchen, basement, crawlspace).
- An estimate number, date and how long the price is valid.
- Each job on its own line, such as “Replace kitchen faucet” or “Clear drain clog (tub)”.
- Who supplies the fixtures. If the customer buys the faucet or toilet, say so; it affects your warranty.
- Fees: permit, haul-away of old fixtures or the old water heater, and any trip charge.
- What is not included, especially drywall, tile and paint repair after opening a wall.
- Tax, deposit and the total.
How to price plumbing jobs
Plumbers usually price in one of two ways:
- Flat-rate pricing: a set price per job from your own price book (“Replace toilet: $375”). Customers like knowing the price before you start, and you are paid for skill, not just time.
- Time and materials: hours times your hourly rate, plus parts and markup. Useful for diagnosis and jobs where you cannot see the problem yet.
Whichever you use, remember the extras that are easy to forget: a separate rate for after-hours or emergency calls, the permit (many areas require one for water heater replacement), haul-away fees, and a buffer for older homes with galvanized or corroded pipe. The price list in the tool above uses example US prices. Replace them with your own.
Example: water heater replacement estimate
| Item | Qty | Amount |
|---|---|---|
| Replace 40-50 gal tank water heater | 1 | $1,800.00 |
| Install expansion tank | 1 | $250.00 |
| Plumbing permit fee | 1 | $125.00 |
| Haul away old water heater | 1 | $75.00 |
| Total | $2,250.00 | |
| Deposit to book (30%) | $675.00 |
These numbers are only an example. Real prices depend on the unit, fuel type, venting, local code and your area.
Estimate vs. quote vs. invoice
Use an estimate when you cannot see everything yet, like a slow drain that may be a sewer line problem. Use a quote when the job is clear, like swapping a faucet, and you are ready to fix the price. Send an invoice when the work is done. The tool above switches between all three without retyping.
Tips to win more plumbing jobs
- Give options on big jobs. For example a standard tank, a high-efficiency tank and a tankless heater, each on its own estimate.
- Explain the cause in one line in the notes, such as “Leak is from a corroded fitting under the sink.”
- Mention your warranty on labor and parts. It is often the deciding factor.
- Send the estimate before you leave the driveway. Homeowners with a leak rarely wait for a second opinion.
Frequently asked questions
Is this plumbing estimate template free?
Yes. Make and download as many estimates as you like. Free PDFs include a small line at the bottom saying they were made with QuoteToolbelt.
Do I need to sign up?
No. Your business details are saved in your own browser on this device only, and nothing is uploaded.
Should plumbers charge flat rate or by the hour?
Many plumbers use flat-rate prices for common jobs, because customers can approve a known price, and hourly rates for diagnosis or unclear problems. The tool works with either: enter a flat price with quantity 1, or hours as the quantity and your hourly rate as the price.
Is drywall repair included in a plumbing estimate?
Usually not. Most plumbers state that opening and patching walls, tile or paint is extra or done by another trade. The default terms in the tool say this, and you can edit them.
How long should a plumbing estimate be valid?
15 to 30 days is common, since fixture and water heater prices change. The tool sets 30 days by default.
