When to send a flooring quote

Send a quote when you have measured, chosen the product with the customer, and checked the subfloor as far as you can. Because the subfloor is often hidden, most flooring quotes are fixed for the listed work with a clear per-square-foot price for any extra repair. If you have real doubts, send an estimate instead.

What to include in a flooring quote

Write a scope the customer cannot misread

VagueClear
New floorsInstall 420 sq ft (incl. waste) of luxury vinyl plank (brand, line, color) in living room, hall and kitchen; straight lay parallel to the long wall, on existing level subfloor
Remove old floorRemove and haul away carpet and pad in 2 bedrooms (about 300 sq ft), including tack strip and staples
TrimInstall new primed quarter round in all rooms (about 140 linear ft), painting by others; T-molding transitions at 2 doorways

With the clear version, a request to also do the stairs or paint the trim is obviously extra.

When the floor surprises you

Soft spots, old tile under carpet, or a floor that is far out of level are common. Stop, show the customer, and agree the extra work at your listed per-square-foot price before you lay any new flooring over it. Floors are hard to redo, so it is worth getting it right.

Frequently asked questions

What is the difference between a flooring quote and an estimate?

A quote is a fixed price for a named product and area. An estimate is an informed guess that can change once the old flooring is up and the subfloor can be seen.

How do I quote subfloor repair I cannot see yet?

State a price per square foot for leveling and for replacing subfloor, and say it is only done with the customer's approval. The tool has lines for both.

Should the quote include leftover material?

Many installers leave unopened or partial boxes with the customer for future repairs. Say so in the terms; the default terms in the tool do.

Is the flooring quote template free?

Yes. Make and download unlimited quotes. Free PDFs include a small line at the bottom saying they were made with QuoteToolbelt.
