What to put on a painting invoice
- The word “Invoice” and a unique invoice number.
- Invoice date and due date.
- Your business name and contact details.
- Customer name and the job address.
- The areas and surfaces painted, including any approved extras, plus paint and materials.
- Tax, the total, any deposit already paid and the balance due. Use the “Already paid” box in the tool for the deposit.
- How to pay you.
Record the colors for touch-ups
Add the paint brand, color name or code, and sheen for each area to the notes. Months later, when the customer needs a touch-up or a matching room, they will have it, and they will call you rather than someone else.
Invoicing bigger and longer jobs
For multi-day or exterior jobs, many painters take a deposit to buy materials, a progress payment midway, and the balance on completion. Make an invoice for each stage and enter earlier payments under “Already paid”, so the customer always sees what is left.
Payment terms for painters
- Homeowners: balance due on completion, after a final walk-through.
- Contractors and property managers: often 14 to 30 days; agree on it before the job.
- Invoice the same day you finish, while the fresh paint is making the customer happy.
Turn your estimate into an invoice
If you made an estimate or quote with this tool on the same device, your lines are still here. Update anything that changed, enter the deposit under “Already paid”, and download the invoice.
