When to send a quote instead of an estimate
Send a quote when you know exactly what the job involves and you are ready to commit to a price, for example installing six recessed lights in an open ceiling or swapping a panel you have already inspected. If you cannot see the wiring yet, an estimate is safer, because it lets the price change if you find problems.
What to include in an electrical quote
- A precise scope of work. Every task, the quantity, and where in the house it goes.
- What is not included. Drywall patching, painting, fixtures supplied by the customer, or utility company fees are common exclusions.
- The fixed price for each line and the total, including tax if it applies.
- How long the quote is valid, usually 15 to 30 days.
- Payment schedule: the deposit to book and when the rest is due.
- A signature line so the customer can accept it in writing. The PDF from this tool includes one.
Write a scope of work customers understand
Vague lines cause arguments later. Compare these two:
| Vague | Clear |
|---|---|
| Kitchen electrical | Install 4 GFCI outlets on kitchen counters (replace existing) |
| Lights | Install 6 recessed LED lights in living room ceiling, on one new dimmer switch |
| EV charger | Install customer-supplied Level 2 charger in garage, new 50A circuit from panel (up to 30 ft) |
The clear version protects you: if the customer later asks for a seventh light, it is obviously extra work.
Handling changes after the quote is accepted
If the customer asks for more work, write a short change order or a new quote for just the extra items and get it approved before you start. Keeping changes in writing is the easiest way to get paid in full without awkward conversations.
Frequently asked questions
What is the difference between an electrical quote and an estimate?
A quote is a fixed price for a clearly defined scope of work. An estimate is an informed guess that can change if the job turns out different, for example when hidden wiring problems are found.
Can the price change after I send a quote?
Not for the work listed. If the customer asks for extra work, quote the extra items separately and get approval before starting.
How does the customer accept the quote?
The PDF includes a signature and date line. The customer can sign it and send a photo back, or reply in writing that they accept.
Is the electrician quote template free?
Yes. Make and download unlimited quotes. Free PDFs include a small line at the bottom saying they were made with QuoteToolbelt.
