What to put on a flooring invoice

• The word “Invoice” and a unique invoice number.
• Invoice date and due date.
• Your business name and contact details.
• Customer name and the job address.
• The work done with actual quantities: square feet removed and installed, linear feet of trim, number of transitions and steps.
• Materials supplied, and any approved subfloor work.
• Tax, the total, the deposit already paid and the balance due. Use the “Already paid” box in the tool.
• How to pay you.

Record the product for warranty and repairs

Add the brand, line, color and, if you have it, the lot or batch number to the notes. Flooring from different batches can vary slightly in color, so the customer will need it to match a repair years later, and the manufacturer may ask for it on a warranty claim.

Payment terms for flooring installers

• Deposit when materials are ordered.
• Balance on completion, after a final walk-through.
• Large or multi-unit jobs: progress payments per area or unit, each with its own invoice.
• Contractors and property managers: often 14 to 30 days; agree on it before the job.
