When to send an HVAC quote
Send a quote, sometimes called a proposal, for system replacements and installs after you have visited the home: you know the equipment, the location and the work, so you can commit to a price. For repairs where you may find more once the unit is open, an estimate is safer.
What to include in an HVAC quote
- The exact equipment: brand, model number, size and efficiency rating for each unit.
- What the price includes: removal of the old system, line set (new or reused), pad, disconnect, thermostat, startup and testing.
- What it does not include: ductwork changes, electrical panel upgrades, drywall repair, or permit fees if not listed.
- Warranty: manufacturer parts warranty (and that it may require registration) plus your labor warranty.
- Payment schedule: deposit to order equipment and when the balance is due.
- How long the quote is valid.
- A signature line. The PDF from this tool includes one.
Write a scope the customer cannot misread
| Vague | Clear |
|---|---|
| New AC | Replace 3-ton central AC condenser and matching indoor coil; reuse existing line set after pressure test; new pad and disconnect |
| Mini-split | Install single-zone ductless mini-split in upstairs bedroom; up to 25 ft line set; condensate line to exterior |
| Thermostat | Install customer-supplied smart thermostat and connect to existing wiring; add C-wire adapter if needed |
A clear scope protects your margin: if the customer later asks for a second zone or new ductwork, it is obviously extra.
When the job changes
If you find something during the install, like undersized ductwork or an electrical panel with no room for a new breaker, stop and write a change order or a new quote for that item before going further. Getting approval in writing keeps the final invoice free of surprises.
Frequently asked questions
What is the difference between an HVAC quote and an estimate?
A quote is a fixed price for named equipment and a clearly defined job. An estimate is an informed guess that can change if more problems are found during the work.
Is an HVAC proposal the same as a quote?
Mostly, yes. Many HVAC companies call their fixed-price quotes proposals, especially for system replacements with several options.
Should I ask for a deposit on an HVAC quote?
Many companies do, because equipment must be ordered before the install. The tool adds a deposit line based on the percentage you set.
Is the HVAC quote template free?
Yes. Make and download unlimited quotes. Free PDFs include a small line at the bottom saying they were made with QuoteToolbelt.
