What to put on an HVAC invoice
- The word “Invoice” and a unique invoice number.
- Invoice date and due date.
- Your business name, contact details and license number.
- Customer name and the service address.
- The work done and parts replaced, each on its own line, including refrigerant by the pound.
- Equipment model and serial numbers for anything you installed. Put them in the notes; the customer needs them for warranty claims, and you need them for the next service visit.
- Tax, the total, any deposit already paid and the balance due. Use the “Already paid” box in the tool for the deposit.
- How to pay you.
Keep good service records
A short note on each invoice, such as what you found, what you replaced and how much refrigerant you added, builds a history of the system. It helps you diagnose faster next time, supports warranty claims, and shows the customer you are thorough. Check what records your local rules require you to keep for refrigerant work.
Payment terms for HVAC work
- Repairs and tune-ups: payment on completion is normal. Invoice from your phone before you leave.
- Installs: deposit to order equipment, balance on completion.
- Commercial and property-management customers: often 14 to 30 days; agree on it up front.
Turn your estimate into an invoice
If you made an estimate or quote with this tool on the same device, your lines are still here. Update anything that changed, enter the deposit under “Already paid”, add the model and serial numbers to the notes, and download the invoice.
